This Privacy Policy explains how the Fraternal Order of Eagles — Philippine Eagles, Inc., Northern Mindanao Region 19 ("NMR-19," "we," "us," or "our") collects, uses, stores, and protects personal data through the NMR-19 Eagles Portal (the "Portal"), in line with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173, "DPA") and its Implementing Rules and Regulations.

The Portal is a members-only system (Region Admin, Club Officer, Member, and Applicant logins). Depending on your role, we collect:
| Category | Examples actually stored in the Portal |
|---|---|
| Identity & contact | Full name, mobile number, home address, member control number |
| Membership records | Club affiliation, position, member status, dues history |
| ID Application Form data | Birth date, birth place, height, weight, emergency contact name/number, 2×2 photo |
| Sensitive personal information (DPA Sec. 3(l)) | Blood type, religion — collected only for the official ID Application Form |
| Financial records | Dues, collections, disbursements, receivables/payables tied to a member's name where applicable |
| Account & usage data | Access code (your login credential), session login timestamp |
We do not run advertising trackers, analytics pixels, or sell any data to third parties. [Confirm and adjust if this changes.]
Access inside the Portal is role-restricted: a Club Officer sees their own club's roster and books; the Region sees org-wide summaries and, for Team management, individual accounts; every member can see their own club's and the region's published financial statements (this is part of our fund-accountability practice, not a data sale). We do not share your personal data with outside organizations except: [list any, e.g., the National Office, printers for ID cards, or state "we do not share personal data outside NMR-19"].
The Portal loads typefaces from Google Fonts (fonts.googleapis.com / fonts.gstatic.com), which may receive your device's IP address when a page loads. It is hosted on Hostinger infrastructure. No other third-party service currently receives Portal data.
Access requires a login code; data is stored in a private database not directly reachable from the internet; every action is scoped to your role so you can only reach what your role permits; the site is served over HTTPS. [Add any further measures your DPO puts in place, e.g., backup policy, staff confidentiality undertakings.]
We retain membership and financial records for as long as you remain a member and for [RETENTION PERIOD — e.g., 5 years] afterward for audit and historical continuity, unless a longer period is required by law. [Confirm with your DPO/auditor.]
You have the right to: be informed; access your data; object to processing; correct inaccurate data; erase or block it (subject to our legitimate recordkeeping needs); data portability; damages for DPA violations; and to file a complaint with the National Privacy Commission. To exercise any of these, contact [DPO email] or your Club Officer.
The Portal uses exactly one cookie: a session cookie (nmr19_session) that
keeps you logged in. It is strictly necessary for the Portal to function and cannot be
switched off; it is not used for advertising or tracking. No consent banner is shown because
no non-essential cookies are used. See our approach in full at [link to Cookies section /
this same policy].
The Portal is intended for adult members of the organization. [Confirm whether any junior/ youth membership category exists and, if so, add parental-consent language.]
We may update this Privacy Policy from time to time. Material changes will be announced to members through [the Portal's Activity Log / official channel].
Questions or requests: [DPO email/phone]. You may also lodge a complaint with the National Privacy Commission (privacy.gov.ph).
